For each export type, you select the tables, add the webhook that SysTrack notifies, and choose the export day. SysTrack estimates the size of the export before you confirm it. ## Prerequisites Before you configure an export, ensure the following: - You purchased Data Egress, and it is turned on for your tenant. The **Data Egress** menu item then shows under **Configure** > **Tools**. - You have available data allowance. You cannot create or edit exports if your purchased data limit has been reached. - The webhook endpoint is available. Host a webhook endpoint and provide its URL and credentials so SysTrack can send a notification when an export completes. For the webhook settings, see [Webhook Setup](/docs/configure-export#webhook-setup). For the network and security requirements of the endpoint, see [Data Egress Security](/documentation/docs/data-egress-security). ## Create an Export Configuration The configuration page is the same for daily, weekly, and monthly exports. It shows **Tables for Export** and **Retrieval Webhook** side by side, then **Export Frequency**, **Next Export**, **Estimated size of export**, and **Proceed to export**. To configure an export, complete these parts in order: 1. Table selection 2. Export data size estimation 3. Webhook setup 4. Day selection for the export (weekly and monthly exports) 5. Review and confirmation ### Table Selection 1. Go to **Configure > Tools > Data Egress**. 2. In the **Table Exports** section, click **Configure daily export**, **Configure weekly export**, or **Configure monthly export**. 3. Select tables for the export: 1. Click **Add table(s)**. In a pop-up window, use the search panel and filters to find and select tables: - You can select one, several, or all tables. The number of selected tables is displayed in the bottom-left corner of the window. - The **RPT** type corresponds to [Report Views](/documentation/docs/report-views), which use the RPT prefix in their names. The **Custom** and **System** types correspond to user-created and factory [Views](/documentation/docs/views) and display their friendly names. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/image(84).png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A54%3A24Z&se=2026-11-08T17%3A54%3A24Z&sr=c&sp=r&sig=WL11CuIlM5JHcsbawVsluxPNPegp8rv%2FloM0IgRgOZE%3D) 2. When finished, click **Add**. The pop-up window closes, and the **Tables for Export** section shows a green check mark with the number of tables added. ### Export Data Size Estimation After you added the tables to an export, SysTrack starts calculating an estimated size for the selected tables based on examples of your data. The estimate helps you manage your data allowance. However, actual export size may vary. You can continue with configuring the webhook while the estimation is in progress. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/image-1783445730910.png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A54%3A24Z&se=2026-11-08T17%3A54%3A24Z&sr=c&sp=r&sig=WL11CuIlM5JHcsbawVsluxPNPegp8rv%2FloM0IgRgOZE%3D) If the estimation fails, review the status of the selected tables and click **Recalculate** to run the estimation again. If the error persists, contact the support team. ### Webhook Setup 1. Click **Add webhook** and enter the webhook details: 1. Name 2. URL 2. Skip **Request Method**. For webhook notifications, only the POST method is used. 3. (Recommended) Select **Authentication Method** and enter the required data. The default is **Specify Authentication via a Header**. - **Specify Authentication via a Header**: Authenticate using a custom header, such as an API key or bearer token. Click **Add** and enter the header name and value. - **Basic Auth**: Enter a **Username** and **Password**. - **Signed Secret**: The secret is passed in a webhook header so that the receiving system knows it is coming from a valid source. You can specify a secret of your own or click **Generate New** to generate a new one. For details, see [Signed Secret Authentication for Webhooks](/documentation/docs/signed-secret-authentication-for-webhooks). > [!WARNING] > **IMPORTANT**: To protect the integrity of your systems, a webhook’s password and secret are not displayed after they are created. Make sure to store them in a secure place. 4. If necessary, specify headers: Click **Add** and enter the header name and value. 5. Check the example of the request body of the webhook notification. 6. When finished, click **Add**. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/image(86).png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A54%3A24Z&se=2026-11-08T17%3A54%3A24Z&sr=c&sp=r&sig=WL11CuIlM5JHcsbawVsluxPNPegp8rv%2FloM0IgRgOZE%3D) ### Day Selection for Export > [!NOTE] > **NOTE**: Configuring the **Next Export** is not available while the estimation calculation is in process. On the export configuration page, **Next Export** sets the day of a weekly or monthly export. For daily exports, **Next Export** shows **Every day** and cannot be changed. You cannot set the time of an export. After estimation calculation completed successfully, in the **Next Export** list, select the day for export. For weekly and monthly exports, the list shows **Select day** until you select a day. - For weekly exports, choose the day of the week. - For monthly exports, choose one of the following: **First day of month**, **15th day of month**, **Last day of month**. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/image-1783445678415.png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A54%3A24Z&se=2026-11-08T17%3A54%3A24Z&sr=c&sp=r&sig=WL11CuIlM5JHcsbawVsluxPNPegp8rv%2FloM0IgRgOZE%3D) ### Review and Confirmation If the estimation calculation is still in process, you can leave the page and return to review later. In the **Table Exports** section, click **Edit configuration** for the corresponding export type. After adding the tables, webhook, day selection, and estimation calculation done: 1. Review the estimated export size. 2. Compare it with the remaining data allowance to ensure it is sufficient for this export. 3. Click **Proceed to export**. Until then, your configuration remains in draft and will not be processed. 4. In the **Ready to Export** dialog, click **Proceed**. To change the configuration first, click **No, Review Settings**. > [!NOTE] > **NOTE**: > > - Clicking **Proceed to export** saves your configuration but does not start an export immediately. > - SysTrack prepares the export and schedules it for processing. > - Exports are processed after the Visualizer refresh cycle to ensure the most up‑to‑date condensed data is included. > - For daily schedules, your data exports during the next overnight processing window. For weekly and monthly schedules, the data exports on the next scheduled day. In the following example, the monthly export (with the **Ongoing** label) is configured, saved, and scheduled. The daily and weekly exports (with the **Proceed to export** button and the **Draft** label) remain in draft and will not be processed. For the daily export, the estimation is still in progress, so **Proceed to export** is not available. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/image-1783445806101.png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A54%3A24Z&se=2026-11-08T17%3A54%3A24Z&sr=c&sp=r&sig=WL11CuIlM5JHcsbawVsluxPNPegp8rv%2FloM0IgRgOZE%3D) ## Edit Configuration To update an export configuration: 1. Go to **Configure > Tools > Data Egress**. 2. In the **Table Exports** section, click **Edit configuration** for the corresponding export type. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/image-1783445754823.png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A54%3A24Z&se=2026-11-08T17%3A54%3A24Z&sr=c&sp=r&sig=WL11CuIlM5JHcsbawVsluxPNPegp8rv%2FloM0IgRgOZE%3D) 3. On the export configuration page, you can make the same changes as in [Create an Export Configuration](/docs/configure-export#configure-export): 1. Change the table selection and get a new size estimation. 2. Edit the webhook. 3. For weekly and monthly exports, change the day for export. 4. Click **Proceed to export**, and in the **Ready to Export** dialog, click **Proceed**. SysTrack starts the preparation process and schedules your next export using the updated configuration. ## Delete Configuration Delete an export configuration to stop an export type, for example the weekly export. > [!CAUTION] > **WARNING**: Deleting an export configuration deletes its saved settings and its webhook. The export history and the exported files stay, so you can still download ready exports until their retention period ends. To delete an export configuration: 1. Go to **Configure** > **Tools** > **Data Egress**. 2. In the **Table Exports** section, click **Edit configuration** for the corresponding export type. 3. In the top-right corner, click **Delete configuration**. 4. In the **Delete export configuration?** dialog, confirm the delete. ## Troubleshooting Data Egress Exports ### You Cannot Add Tables or Click Proceed to Export When the purchased Data Egress allowance is used up, the **Export limits** meter shows **Your export limit has been reached**. You cannot add or edit tables or webhooks, **Proceed to export** is unavailable, and scheduled exports do not run. To purchase additional capacity, contact your account representative. See [View Export History and Data Usage](/documentation/docs/view-export-history-and-data-usage). ### The Webhook Does Not Receive Notifications Check that your firewall allows the SysTrack static IP addresses for your region. See [Data Egress Static IPs for Webhook Notifications](/documentation/docs/data-egress-static-ips-for-webhook-notifications). The export can be ready even if the notification did not arrive. See [If You Missed the Notification](/documentation/docs/retrieve-your-data#if-you-missed-the-notification). ### The Size Estimation Fails Review the status of the selected tables and click **Recalculate**. See [Export Data Size Estimation](/documentation/docs/configure-export#export-data-size-estimation).
