When an alarm is triggered, a notification profile sends an email or an SNMP (Simple Network Management Protocol) message to one or more persons. An alarm is triggered when a monitored item exceeds the limits configured for the alarm. Notification profiles are separate from action profiles. You select a notification profile for each alarm category on the **Alarms** tab of a role. See [Configure Alarms in a Role](/documentation/docs/configure-alarms-in-a-role). > [!NOTE] > **NOTE**: In SysTrack On-Premises, the **Alarm Notifications** menu is available only on the Global Master. ## Prerequisites For email notifications, you need a mail server that accepts SMTP (Simple Mail Transfer Protocol) email from your systems. By default, the system that raises the alarm sends the email. You need the host name and TCP port of the mail server. If the mail server requires sign-in, you also need a username and password. ## Configure a Notification Profile 1. In Configure, go to **Tools** > **Alarm Notifications**. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/notification_profile_1.png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A44%3A45Z&se=2026-11-08T17%3A44%3A45Z&sr=c&sp=r&sig=3llG3wX2l0DNhIwNsPJ4j2TTkrho005IAzwf%2BJRXLrE%3D) 2. Click the lock icon on the top right of the page to unlock SysTrack Configure for editing. 3. Do one of these: A profile name must be unique among all action and notification profiles and can have up to 50 characters. It cannot contain special characters, such as periods, commas, slashes, or quotation marks. Hyphens and underscores are allowed. - To create a profile, click the **+** (plus) icon next to the drop-down list at the top of the page. In the **Create New Profiles** dialog, enter a **Name** and click **Create**. The new profile has the default settings. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/profile_notification_add.png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A44%3A45Z&se=2026-11-08T17%3A44%3A45Z&sr=c&sp=r&sig=3llG3wX2l0DNhIwNsPJ4j2TTkrho005IAzwf%2BJRXLrE%3D) - To duplicate a profile, select it in the drop-down list at the top of the page, then click the ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/duplicate_icon(1).png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A44%3A45Z&se=2026-11-08T17%3A44%3A45Z&sr=c&sp=r&sig=3llG3wX2l0DNhIwNsPJ4j2TTkrho005IAzwf%2BJRXLrE%3D) (duplicate) icon. Enter a name and click **Duplicate**. The new profile has the same settings as the selected profile. - To delete a profile, select it in the drop-down list at the top of the page, then click the **X** icon. Click **Delete** to confirm. > [!CAUTION] > **WARNING**: You cannot undo the delete, and SysTrack does not warn you when a role uses the profile. Roles that use the profile stop using it, so their alarms no longer send its notifications. Check the **Alarms** tab of your roles before you delete a profile. ### Set Up Email and SNMP Notifications 1. To set up an email notification for the profile, select the email **Enable** check box. It is cleared by default. 2. In **Send to:**, enter the email address of the person to notify. 3. (Optional) In **CC:**, enter an additional email address. 4. Enter the **Mail server host name** and the **TCP port number**. The default port is 25. 5. (Optional) To sign in to the mail server, select **Enable SMTP Authentication**. It is cleared by default. If the mail server is not configured yet, click **Edit**, then in the **SMTP Authentication** dialog, enter a **Host Configuration** with **Mail server host name**, **Username**, and **Password**. > [!NOTE] > **NOTE**: SMTP authentication supports only a username and password. Client certificates (mutual TLS) and implicit TLS on port 465 are not supported. 6. In **'From' address**, enter the sender address of the email. The default is `SystemsManagementAgent@yourcompany.com`. 7. (Optional) Change the **Minimum time between e-mails** in minutes. The default is 3 minutes. 8. (Optional) To send SNMP notifications, select the SNMP **Enable** check box. The check box is cleared by default. Then complete these fields: - **Local port number**: the source port of the SNMP messages. The default is 0. - **Destination port number**: the port that receives the SNMP messages. The default is 162. - **Destination IP Address**: the IP address that receives the SNMP messages. - **Send to community**: the community name for the SNMP messages. The default is `public`. - **Minimum time between SNMP messages**: the default is 0. ### Set Up the Notification Message Format The text body of the alarm notification message can be composed of selected SysTrack text options, or you can instead select **Use User Defined Text**. 1. (Optional) To also send a message when the alarm ends, select **Send Alarm End Message**. It is cleared by default. 2. To use SysTrack text options, select the **In Subject Line** options to determine what is included in the subject line of an email notification. By default, **System name** and **Alarm Type** are selected. The subject line includes a shortened version of your selections. 3. Select the **In Body Text** options to determine what is included in the body of an email notification. The options are the same as for the subject line, but they are not shortened. No **In Body Text** options are selected by default. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/message_format.png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A44%3A45Z&se=2026-11-08T17%3A44%3A45Z&sr=c&sp=r&sig=3llG3wX2l0DNhIwNsPJ4j2TTkrho005IAzwf%2BJRXLrE%3D) The following table describes each of the **In Subject Line** and **In Body Text** options: | Item (when applicable) | Description | | --- | --- | | System name | The name of the system that triggered the alarm. | | Logical Name | The logical name of the system. | | Alarm Class | The alarm category that triggered the alarm, for example System, Disk, or Net. For the list of categories, see [Configure Alarms in a Role](/documentation/docs/configure-alarms-in-a-role). | | Alarm Type | These alarms fall within the Class. For example, if the Class is "Disk", the Type could be "Read Rate" or "Free Space". Almost each Class has a subset of Types. | | Alarm Item | Some Classes and Types have more than one member in the group. If a system has more than one disk, both primary and logical, then each will show up at a different Item. | | Alarm Instance | An *instance* is when an item is opened more than once. For example, if multiple copies of NotePad.exe are opened on a terminal server, this would be X number of instances. Each instance is designated by the Process ID (PID) of the application. Because the alarm may be triggered by only one of the instances, it is important to note exactly the application instance that initiated the alarm. | | Alarm Severity | Shows whether the alarm condition is yellow or red. | | Alarm Start Time | The first recorded time of the alarm trigger, based on the Severity. | | Limit Text | The limit description that was exceeded. This is not the value that triggered the alarm, but the threshold name. | | Last Value Text | The value that was last recorded by the SysTrack Agent. It may not be the value that triggered the alarm. | | Action Description | The response to the system alarm initiated by the SysTrack Agent. | | Process ID | The Process ID (PID) is a number used by Microsoft Windows to temporarily uniquely identify a process. | ### User Defined Text **Use User Defined Text** is selected by default. 1. Select the **Use User Defined Text** check box to edit the default **Alarm Start Message**, **Alarm End Message**, and **Event Alarm Message**. 2. Click a keyword in the list on the right to add it to the alarm message. 3. (Optional) Click the **Alarm End Message** or **Event Alarm Message** tab and edit the message. ![](https://cdn.document360.io/87d11426-6b1f-4b19-b593-b71e55a81af3/Images/Documentation/alarm_message_token.png?sv=2026-02-06&spr=https&st=2026-11-08T16%3A44%3A45Z&se=2026-11-08T17%3A44%3A45Z&sr=c&sp=r&sig=3llG3wX2l0DNhIwNsPJ4j2TTkrho005IAzwf%2BJRXLrE%3D) 4. When you are done, click **Save Changes** at the top right of the page. ## Troubleshooting Alarm Notifications ### Email Notifications Are Not Received If an alarm is triggered but no email arrives, check the following: - The email **Enable** check box is selected in the notification profile, and the profile is selected for the alarm category on the **Alarms** tab of the role. - The **Mail server host name**, **TCP port number**, and **SMTP Authentication** details are correct. - The mail server accepts email from the systems that raise the alarms. - SysTrack sends no more than one email in each **Minimum time between e-mails** period.
